1. Scope

This Privacy Policy applies to the MeetDecision website, the Google Meet add-on, and services related to live meeting polls. By using MeetDecision, you acknowledge that you have read and understood this policy.

2. Information we process

To provide sign-in, polling, and reporting, we may process:

  • Google account information: account identifiers, email, display name, and avatar.
  • Meeting and event information: meeting identifiers or codes, event titles, questions, options, voter scope, and weights.
  • Participation and votes: join records, selected options, weights, and submit/update times.
  • Report and notification information: report recipient emails, send status, and necessary error details when delivery fails.
  • Technical information: session tokens used for authentication, plus basic request and fault logs needed to run the service.

MeetDecision currently obtains basic identity via Google sign-in and never asks for your Google account password.

3. How we use information

  • Authenticate users and distinguish hosts, participants, and people who can view reports;
  • Create and manage poll events and determine voting eligibility;
  • Sync poll progress, aggregate results, and generate post-meeting reports;
  • Send report emails, keep the service secure, and diagnose failures;
  • Meet applicable legal requirements and protect users and the service.

4. Who can see poll results

Polls are not anonymous by default. Results may include display names, avatars, choices, and weights, and may be shown in live results or reports to hosts and participants with access. Hosts should explain purpose and visibility before launching a poll.

5. Sharing and third parties

We do not sell personal information. We only share what is needed with providers such as Google sign-in and Google Meet, email delivery, cloud infrastructure, or databases; or when you authorize it, when required by law, or to protect legitimate rights.

Use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including Limited Use.

6. Storage, security, and retention

We use reasonable technical and organizational measures, including authentication, access control, and transport protection. No online service is perfectly secure. We retain information as needed for polling, reporting, security, and compliance, unless law or disputes require longer.

7. Your choices and rights

You may stop using MeetDecision and contact us to access, correct, or delete account-related information. After identity verification we will handle requests under applicable law and current technical capability. Some records may be kept temporarily for security, audit, or legal duties.

8. Children

MeetDecision is built for workplace and organizational meetings, not specifically for children. Minors should use the service only with permission from a guardian, school, or organization.

9. Policy changes

We may update this policy when the service or law changes, and will show the latest date on this page. Material changes will be highlighted in a reasonable way.
